MedStock AI — Intelligent Clinical Operations App
The Challenge: The Decentralized Warehouse
Managing inventory in a medical facility isn’t like managing a traditional factory storage room. Supplies aren’t just sitting on one shelf; a bulk order of masks gets immediately fragmented and allocated across dozens of different exam rooms and surgical stations.
Before this native app, staff were physically running between stations to check stock levels, guessing when to reorder, and losing track of patient lab results in the shuffle. Shipments were logged manually, creating a massive lag between physical stock and digital visibility. The client needed a unified mobile platform to manage this decentralized inventory, automate the purchasing pipeline using AI, and track external lab cases—all without sacrificing administrative control.
The Strategy: Designing a Nervous System
Approaching this as a complex mechanical fault, we bypassed the low-fidelity wireframing stage entirely and moved straight into high-fidelity native app design. We prioritised fast, physical interactions, like camera-based scanning and direct staff-to-station assignments, to ensure high adoption rates on a busy clinic floor.
The goal was an interface that felt lightweight to the medical staff, while hiding an incredibly complex AI logic engine underneath that managed vendor priorities and predictive reordering.
The Engine: Core Features
We stripped away the corporate fluff. Cue is designed on a core philosophy: if your team can tap a smartphone screen, they can use this app. By breaking down the task creation process into bite-sized, logical steps, we eliminated the cognitive overload that plagues standard productivity apps. It’s task management distilled to its absolute essentials.
Rapid Scan-to-Stock Intake:
We integrated native camera functionality for immediate barcode and QR scanning. Staff can scan new shipments directly into the inventory system, eliminating manual data entry and ensuring immediate visibility across the facility.
Station-Level Accountability:
Users can instantly assign scanned inventory to specific clinical stations from the palm of their hand. To ensure absolute accountability, the system allows admins to assign specific staff members to oversee these stations, view recent audit statuses, and effortlessly schedule new routine maintenance checks.
Decentralized AI Tracking:
The underlying AI monitors usage rates across individual exam rooms rather than just bulk storage. It proactively alerts assigned staff when their specific stations are running low, effectively curing manual stock checks.
Predictive Auto-Ordering (With a Leash):
Medical facilities use multiple suppliers. We designed a dynamic routing feature where the AI automatically selects suppliers based on the facility’s current priority: Lowest Price, Fastest Delivery, or Preferred Partner.
Smart Vendor Routing:
Medical facilities use multiple suppliers. We designed a dynamic routing feature where the AI automatically selects suppliers based on the facility’s current priority: Lowest Price, Fastest Delivery, or Preferred Partner.
Predictive Auto-Ordering (With a Leash):
External tracking is brought into the same ecosystem. Staff can log when patient data or physical samples are sent to external labs, track transit statuses, and monitor the timeline for upcoming results directly through the app.
The Outcome
By turning a reactive, manual chore into a proactive, AI-driven system, we delivered a native app that acts as a digital assistant for clinical managers. The high-fidelity design seamlessly connects the stockroom, the decentralized exam stations, and external labs into one frictionless workflow, proving that complex healthcare logistics can be expertly managed from a mobile device.
Project Impact
- Frictionless Execution: By bypassing the wireframing phase, we moved directly into high-fidelity native app design, delivering a complex, developer-ready ecosystem with rapid turnaround.
- Decentralized Control: Successfully transformed a fragmented, paper-based inventory process into a unified digital dashboard, giving management real-time visibility across all clinical stations.
- Automated Logistics: The AI-driven predictive ordering and smart vendor routing features eliminated the manual guesswork of stock management, drastically reducing administrative hours while preventing clinic shortages.
- Unified Clinical Workflow: Seamlessly integrated internal inventory tracking, physical station audits, and external lab case monitoring into a single, cohesive mobile experience.
Night and day difference. The older version felt a bit heavy, but this redesign is incredibly smooth and intuitive. I genuinely hope this goes live soon so my team can start using it.
I showed this to my team and they loved the simplicity. It has that easy, familiar 'Google Tasks' feel, but the collaboration tools actually make sense for a group. A really solid upgrade.
The management features are incredibly straightforward. Setup took practically no time, and the new UI is a massive step up. It just gets out of your way and lets you work
